EDI Services generates multiple reports to assist you in easily tracking your electronic claims. These reports represent different rejection levels and are available to you as quickly as possible. The sooner you are aware of any errors, the sooner you are able to correct and resubmit your claims for processing and payment consideration. Please begin a daily routine of retrieving and evaluating all applicable reports for efficient tracking of your electronic claims. Available reports include:
• TA1 Interchange Acknowledgement– the TA1 indicates if an interchange control structure error is identified. This report will only be sent if an error exists.
• X12N 999 Interchange Acknowledgement (Part A and Part B) – The 999 indicates whether the file successfully passed the initial file structure edits.
• Claims Acknowledgement (277CA) - The 277CA provides a listing of the claims that have accepted or rejected during the technical electronic edit process. This report will not be created if the file rejected on the TA1 or 999.
• X12N 835 Electronic Remittance Advice (ERA) (Part A and Part B) – The ERA is the HIPAA-compliant remittance file containing finalized payment or rejection information from the Medicare processing system. The ERA is available daily for Institutional (Part A) and Professional (Part B). Retrieval and viewing of the ERA through PC-ACE is supported.
Note: The TA1, 999 and 277CA will be available the same day. ERA will always be two weeks later.
Download reports using Secure File Transfer Protocol (SFTP)
• Connect to First Coast using your Network Service Vendor.
• Locate the reports in the directories found in your mailbox.
• Current Directory - includes all reports that have not been downloaded or are newly created.
• Downloaded Directory - includes all the past reports that were downloaded.
• Download the file to your computer by clicking the file name and the Move.
View reports
To view the 999 and TA1 reports:
• Open the PC-ACE software.
• For Part A, click the Institutional Claims Processing icon. For Part B, click the Professional Claims Processing icon.
• Click Maintain.
• Click Acknowledgement File Log.
• Click the appropriate report.
• Click View Report.
To view the 277CA reports:
• Open the PC-ACE software.
• For Part A, click the Institutional Claims Processing icon. For Part B, click the Professional Claims Processing icon.
• Click Maintain.
• Click Claim Status Response & Acknowledgment Log.
• Click the appropriate report.
• Click View Ack Report.
To view the 835 ERA:
• Open the PC-ACE software.
• Click the ANSI – 835 Functions icon.
• Click Institutional or Professional.
• Click Select ANSI File.
• Click on the ERA file you want like to view.
• Click Select.
• Click Translate/Import ETRA.
• Click Print/View Reports.
• Choose the type of report you want to view and click OK.
• Enter specific pages to view or click OK.
