First Coast’s online portal – the Secure Provider Online Tool (SPOT) was redesigned to a more modern look and feel. The new format was available for all existing users on December 4. The redesigned SPOT includes most of the same current benefits and added some new features.
A new claim submission feature was made available on February 7. This feature provides the ability to submit electronic claim files through SPOT. For existing SPOT organizations that enrolled prior to January 2022, the
SPOT claim submission agreement form is needed to gain access to the Claim Submission/ERA feature. Organizations that enrolled for SPOT after January 2022 do not need to submit the agreement form. Please read the important notes provided on the
SPOT claim submission webpage carefully prior to submitting the agreement form.
Submitting claim files: The Claim Submission/ERA feature in SPOT will allow offices who are enrolled to submit electronic claim files (837 transactions) free and retrieve the electronic response reports. The claim file must first be created in a different software program. First Coast provides a free option,
PC-ACE, or you may obtain software from any
5010 approved vendor.
Retrieving reports: After submitting an 837 electronic claim file, you will need to retrieve the 999 Acknowledgement and the 277CA claims acknowledgement reports to verify if the electronic claims were received and forwarded into the processing system. These report files will become available in the TIBCO Inbox minutes after submitting the 837 electronic claim files.
ERA files (835 transactions) are another type of report available through this new feature. To receive the ERA in SPOT, it must be requested on the on the SPOT Enrollment form. If you submitted an enrollment request that requested ERA be assigned to a SPOT submitter ID since January 2022, your ERA setup will be updated between February 8 – 23.

• SPOT Overpayment Correction feature video (Part B only): a review of the redesigned overpayment correction function available for Part B providers. This feature allows providers to return money on a claim or line item identified as billed in error.
• SPOT Claim Submission video: a quick review of the claim submission feature. This feature provides the ability to submit a previously prepared ANSI 837 electronic claim file through the SPOT portal.

The
SPOT User Guide for the redesigned portal has also been updated and enhanced - it is now web-based instead of a PDF file. This will allow you to search for the topics using our web search feature and to quickly access only the sections you need. The redesigned user guide includes a table of contents page with links to each section. On the section pages, you will find a link back to the index at the very top of the page followed by the details for that section. If the details are lengthy, a quick-link index is also provided at the top of the section. Most sections also include screen images to help you visualize the instructions provided.
The redesign system changes included a new sign-in process that may not work with previously saved browser data. Below are some troubleshooting tips for resolving potential log in issues. Please try these tips prior to contacting our help desk:
1. Open a new web browser and manually type https://thespot.fcso.com in the address bar followed by manually typing your username and password. Do not use any bookmarks, favorites, or saved password information.
3. Use a different browser. For example, if using Chrome is not working, try using Edge.
5. If none of these tips resolve your sign-in issue, call the SPOT Help desk for support at 1-855-416-4199.
